These Terms and Conditions ("Terms") govern your access to and use of the IDIPHUB platform at www.idiphub.com, operated by International Diplomatic Hub Sdn. Bhd. ("IDIPHUB", "we", "our", or "us"). By registering for or using the platform, you agree to be bound by these Terms.
1. Eligibility
IDIPHUB is a restricted-access platform exclusively for verified members of the diplomatic community, including embassies, high commissions, permanent missions, international organisations, allied military missions, and their authorised personnel. Access is granted only upon successful verification of your diplomatic status and credentials. IDIPHUB reserves the right to refuse or revoke access at its sole discretion.
2. Account Registration and Verification
To place orders or access services, you must register for an account and complete our Know Your Client (KYC) process. You are responsible for maintaining the confidentiality of your account credentials and for all activities conducted under your account. You agree to provide accurate, current, and complete information at all times and to update it promptly if it changes. IDIPHUB may suspend or terminate accounts found to contain inaccurate or fraudulent information.
3. Products and Orders
IDIPHUB offers a curated selection of products including spirits, wines, beers and ciders, groceries, household goods, beverages, and frozen items. All products are made available subject to availability. We reserve the right to limit quantities, discontinue products, or modify our catalogue at any time without prior notice.
Orders are subject to acceptance by IDIPHUB. We reserve the right to cancel or refuse any order, including where a product is found to be mispriced or out of stock. You will be notified promptly in such cases and any payment collected will be refunded in full.
4. Pricing and Payment
All prices displayed on the platform are in United States Dollars (USD) unless otherwise stated. Prices are inclusive of applicable duty-free and tax-exempt benefits where eligible under your diplomatic status. IDIPHUB is not liable for any bank fees, currency conversion costs, or charges imposed by your financial institution.
Payment must be received in full prior to order fulfilment. IDIPHUB accepts payment by the methods listed at checkout. All transactions are processed securely through our authorised payment partners.
5. Duty-Free and Tax-Exempt Procurement
Products and services available through IDIPHUB may be supplied on a duty-free and tax-exempt basis in accordance with applicable international conventions and local regulations governing the diplomatic community. It is your responsibility to ensure that your procurement complies with the privileges and immunities applicable to your mission or organisation. IDIPHUB does not provide legal or tax advice and is not liable for any misuse of duty-free entitlements.
6. Delivery and Logistics
IDIPHUB coordinates delivery of orders through trusted logistics and freight partners. Delivery timelines are estimates only and may be affected by customs clearance, carrier availability, or other factors outside our control. Risk of loss passes to you upon delivery to your nominated address or designated carrier.
You are responsible for ensuring that your delivery address and import requirements are accurate and that all necessary customs documentation is in order. IDIPHUB will not be liable for delays or losses arising from inaccurate delivery information or failure to meet customs requirements.
7. Relocation and Household Moving Services
IDIPHUB offers end-to-end relocation and household moving services for embassy personnel and their families. These services are subject to a separate service agreement which will be provided upon engagement. Service scope, timelines, and pricing are agreed in writing prior to commencement.
8. Diplomatic Vehicle and Cargo Transport
IDIPHUB provides specialised cross-border transport services for official vehicles and diplomatic cargo. These services are conducted in full compliance with applicable regulations and with complete discretion. Detailed terms for these services are set out in the applicable service agreement.
9. Returns and Refunds
Due to the nature of our products and the requirements of duty-free procurement, all sales are final unless a product is found to be defective or incorrectly supplied. Requests for returns or refunds must be made within 7 days of receipt and are subject to review by our team. We reserve the right to decline returns that do not meet our return criteria.
10. Acceptable Use
You agree not to use the IDIPHUB platform for any unlawful purpose, to misrepresent your diplomatic status or entitlements, to interfere with the operation of the platform, or to attempt to gain unauthorised access to any part of our systems. Violation of these terms may result in immediate suspension or termination of your account and may be reported to relevant authorities.
11. Intellectual Property
All content on the IDIPHUB platform, including text, images, logos, and design elements, is the intellectual property of IDIPHUB or its licensors. You may not reproduce, distribute, or use any content without our prior written consent.
12. Limitation of Liability
To the maximum extent permitted by law, IDIPHUB shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the platform or services. Our total liability to you in connection with any claim shall not exceed the amount paid by you for the order or service giving rise to the claim.
13. Indemnification
You agree to indemnify and hold harmless IDIPHUB, its directors, employees, and agents from any claims, liabilities, damages, or expenses (including legal fees) arising from your breach of these Terms, your use of the platform, or your misuse of duty-free entitlements.
14. Modifications
IDIPHUB reserves the right to modify these Terms at any time. Updated Terms will be posted on this page with a revised effective date. Your continued use of the platform after changes are posted constitutes your acceptance of the revised Terms.
15. Governing Law
These Terms are governed by and construed in accordance with the laws of Malaysia. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Malaysia.
